Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

This position, in the Bureau of Community Health Systems, supports the organization’s mission of providing infrastructure for the implementation of core public health functions in a high quality, effective and responsive manner that will positively impact the health status of Pennsylvanians by fielding all customer calls and providing clerical support to the District Office and the State Health Centers. This position is headquartered in Dauphin County State Health Center.


Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Answers calls using BCHS and DOH policies and procedures and knowledge of agency, local government, community, and commonwealth programs to provide information and referral on DOH programs to the general public. Logs calls to the Health Database to provide measures on health program activities. Refers calls to other agencies as appropriate. Provides appropriate referrals to community resources to meet the identified needs of the client.

Provides clerical support to professional staff who develop, coordinate and provide educational programs to increase community and professional awareness and knowledge of public health issues (e.g. support for health fairs, clinics and disease/animal bite investigations).

Maintains up-to-date collection of literature and organization of State Health Center library with input from the Community Health Nurse and other District Office staff.

Maintains State Health Center bulletin boards on public health topics with input from the Community Health Nurse and District Office staff.

Distributes educational materials on public health programs as requested by agencies, schools and individuals in the community.

Submits case reports, inputs and maintains information in the Pennsylvania Immunizations Electronic Registry System (PIERS) using DOH guidelines to provide program staff statistical information on clinic activities. Prepares clinic activity reports using spreadsheet software or immunizations applications as assigned.

Orders stock inventory, clinical supplies, vaccines, and medication in collaboration with community health nurse using DOH procedures to ensure that clinic supplies are available timely, accurately and in accordance with medication and immunizations regulations and policies.

Provides clerical support for clinics and assigned clinical services using DOH procedures to ensure a customer-oriented clinic is communicated, run, and documented to program staff as required.

Provides clerical coverage to State Health Centers as assigned to ensure adequate clerical coverage.

Assists with the orientation of new clerical staff to ensure adequate clerical coverage.

Demonstrate awareness of the vulnerable populations the organization serves by identifying, providing, and advocating for resources, services, communication methods, and policies that would help those populations achieve health equity.

Completes and compiles forms, reviews and prepares summaries of statistical data for monthly reports to ensure BCHS activities are reported to programs.

This position is considered an essential/emergency responder and carries out essential job functions or assigned emergency duties which may involve assignments within the DOH Command Center, deployment to a field location to participate in public health activities or other duties as required during periods of emergency. If received, emergency assignments may be performed under adverse conditions and continue for periods ranging from a few hours to several weeks.

Essential Functions
