Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

Responsible and accountable for performing moderately complex clerical work relative to the procurement of commodities necessary for the continued operation of the hospital.

Operates office machines, such as copying machines, personal computers, and fax machines. Proofreads typed material to ensure the transfer of information is typographically and grammatically correct and complete. Effectively communicates with other offices/staff to convey or obtain information. Adds paper and/or other materials to copier, replenishes office supplies in cabinets or other storage areas.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Prepares and processes Advancement Account orders by using approved requisitions and quotations in order to procure requested commodities according to DHS purchasing policies and procedures. This will include "monthly" orders and others that will need to be held until invoice(s) is/are received. Contact requestor for additional information when needed, initiating further vendor follow-up as required. Use of PCard when appropriate, including control of PCard use logs and all staff PCards.

Uses procurement systems such as SRM to print purchase orders.

Processes requisitions in SRM when needed.

Uses the Pennsylvania Treasury Department's website to upload contracts/purchase orders for purposes of the Right to Know Law.

Responsible for the ordering of forms and envelopes.

Completes clerical duties for the Purchasing Department by picking up mail on a daily basis, posting and distributing purchase orders, typing office correspondence, filing reference material, answering telephone requests for purchasing information in order to maintain communication flow, provide for continuity of services and comply with DHS, DGS and DSH policies, procedures and priorities.

Performs other related duties in the Purchasing Department by following the direction of the Purchasing Agents in order to provide requested commodities and services.

Provides relief in the Storeroom when understaffed.

Responsible for keeping records of warrantied office and gym equipment.

Works independently to complete tasks and assignments. Takes direction from Supervisor and/or Lead Worker in situations where direction or a higher level of decision-making is needed.

Control of PCard use logs and all staff PCards. Communication with vendors and staff. Deciding where/how forms and envelopes get ordered using list provided by DHS forms designer. Purchasing team meetings and discussions are held when needed.
