Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

This position provides administrative support for the Office of Campaign Finance and Lobbying Disclosure, Campaign and Finance Division. It provides support to staff responsible for maintaining campaign finance and lobbying disclosure reports and registrations filed by candidates, political committees and lobbyists and making them available to the public.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Reviews campaign finance reports and lobbying disclosure reports for accuracy, inconsistencies, and/or violations of the law. Analyzes the reports, prepares reports of findings, and makes recommends on courses of action.

Assists in the execution of all aspects of the requirements and duties relating to campaign finance and lobbying disclosure.
Creates/revises campaign finance public guides; and assists in creating/revising lobbying disclosure public guides.

Provides input into revisions to campaign finance procedures. Reviews proposed bills and provides feedback and findings to supervisory staff. Analyzes procedures, prepares reports of findings, and provides recommendations for operational efficiency.

Posts Campaign Finance Reports, prepares reports for data entry, and sends reports to vendor for data entry.

Prepares the Campaign Finance Audit. Performs research and prepares documents to be sent to the auditing firm and selected registrants.

Compiles Non-Bid reports to be compiled into a booklet.

Prepares a failed to file list for the Attorney General’s Office by pulling files and documents from online and researching the list to ensure all registrants should be referred for non-payment.

Responds to inquiries through written correspondence, e-mail and verbally in a timely fashion. Researches the inquiry and analyzes documents, reports, and records; and prepares a response or prepares recommendations for solutions if necessary.

Assists customers at the front desk, over the phone and via email, with Campaign Finance and Lobbying Disclosure questions. Fields calls for other divisions within the office as needed.

Compiles a weekly report of completed and outstanding tasks.

Assists manager with quality assurance testing for internal databases and makes recommendations based on results.

Files Campaign Finance and Lobbying Disclosure documents.

Maintains Lobbying Disclosure expense and registration files.

Performs data entry of Independent Expenditures to be posted on the website.

Creates and/or updates candidate information in database during annual petition filing periods.
Serves as a lead on outreach, drafting newsletters, autodialer reminder call functions, and failure to file activities.
Serves as one of the office’s requisitioner.

Performs other related duties as required.

Employee is encouraged to exercise good judgment and initiative within established policies and procedures. Review of the work is accomplished through meetings, bi-weekly reports, and review of work products.
