Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

This position serves as a customer contact in an inbound call/service center environment utilizing knowledge base and case management tools to assist customers in completing their human resource transactions, benefits and information services, in accordance with call/service center standards.


Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Provides answers to questions relating to FMLA eligibility and entitlement, how to find and complete the necessary FMLA forms and how to enter these absence types by researching the policy and procedure guides.

Completes standard notices and transmittal letters using information provided by the FMLA Specialists.

Keeps medical information and verbal discussions confidential.

Manage incoming paper mail and electronic mail received by date-stamping hard mail, sorting, prioritizing, and distributing mail to staff electronically using knowledge of staff work and judgment of appropriate level of review needed.

Process outgoing FMLA and Military letters via USPS mail and upload applicable letters to employee’s electronic OPF.

Using the SAP system, checks FMLA eligibility to determine if an employee has 1 year of service and worked 1250 hours in the previous 12 months.

Using the SAP system, checks employees leave quotas to determine what leave should be input. Confirms absences taken with employee, supervisor, or manager to determine accurate first date of FMLA absences. Determines what type of letter should be sent. Creates new event in the FMLA Tracking system, uploading all applicable documentation.

Utilize software to edit PDF files daily.

Time management skills are essential. Position requires managing a high volume of telephone calls, electronic and paper mail, meeting very strict deadlines.

Perform other related duties as necessary.

After training, employee is responsible for ordering priorities and determining specific work to be done. If priorities conflict, employee discusses needs with supervisor. Out of ordinary tasks are reviewed with the supervisor.
