Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. Reviews Disabled Veterans’ Real Estate Tax Exemption (RETX) program applications for completeness, ensuring that all required supporting documents are included according to checklists and application status. Enters applicant information into the AIM database, including veteran and/or surviving spouse data, date received, phone call notes, information request dates, etc. Generates correspondence to notify applicants of missing information. Calls and/or sends letters to applicants and County VSOs to request additional documentation or information as needed. Checks the AIM database to see if the veteran already exists in the database. Opens the veteran’s file in the database to note any changes on Review Applications. If requested information is not received within the specified time frame, recommends application disapproval. Determines if/when applications are fully developed based on checklists and established operating procedures and sends applications and any related information to VSSs for adjudication. Cursorily assesses RETX applicants for other potential eligibility, especially Blind and/or Amputee & Paralyzed Veterans’ Pension eligibility, and refers information to the appropriate VSS. Supports and assists VSOs and VSSs with mass mailings, compiling information requests for transmittal to VA, and other routine administrative procedures related to RETX program management. Answers and directs incoming phone calls. Provides customer service to veterans, surviving spouses, and dependents inquiring about programs, procedures, and application status. Determines when calls should be elevated to VSSs or VSOs. Opens, sorts, and distributes mail. Appropriately files mailed documents with related applications. Scans and processes received applications and documentation into the appropriate network files and folders. Scans and uploads DD-214s into DocuWare. Reviews scans for clarity and makes corrections as necessary to ensure all information is identical to the information on the originals. Maintains and updates AIM and related database entries and records. Provides data and supports VSSs and VSOs with requests for information and reporting requirements. Performs work in accordance with the DMVA general safety rules and safety rules for this position. Immediately reports all workplace injuries or incidents to the supervisor; and/or immediately corrects any safety hazards in the work area or reports same to supervisor. Performs other relevant duties in the Programs and Services section as required. |
