Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. Collect, sort, process, and distribute mail and newspapers to appropriate units and residents. Request supplies, equipment, and furniture via electronic purchase requisitions/shopping carts as requested by the Nursing Department and other departments as needed. Maintain unit inventory of equipment and supplies at established par levels. Assemble and provide to nursing staff Admission Packets, Transfer Packets, Death packets, and other documents as required. Coordinate nursing staff schedules to ensure proper coverage. Review employee call-off lists obtained from Registered Nurse Supervisors to adjust schedule and identify staffing shortages. Contact employees on the voluntary overtime list, PRN list, and nurse staffing agencies to obtain Nurse Aides, LPNs, and RNs. Copy Nursing staff schedules and send to appropriate departments. Post schedules on nursing units. Create reports on mandatory overtime (MOT), voluntary overtime (VOT), unanticipated overtime, and staffing levels. Work with facility timekeepers and human resources staff to identify and correct time problems and scheduling conflicts. Maintain files on nursing overtime books and sign-up sheets, voluntary and mandatory overtime lists, and employee call offs. Maintain and update holiday and voluntary equalization lists. Make arm bands for each resident on a regular basis to ensure residents have an arm band on at all times. Answer telephone calls, receive and route messages. Make copies, type documents, scan information, and send and deliver faxes as needed. Prepare appointment envelopes, complete consult communication forms, and prepare appointment slip notifications for residents. Order, stock, and distribute all forms used on nursing units and keep abreast of all new forms implemented by Nursing and other departments. Restock documentation sheets in the chart as needed. Schedule residents’ appointments. Provide residents’ external appointment schedules to transportation staff. Reschedule appointments as needed. Make arrangements for resident telephone and cable services as requested. Assume the duties of other unit clerks when needed. Maintain accurate daily assignment sheets for each shift on each unit. Provide nurses with upcoming appointment information for VA appointments. Monitor and schedule routine preventative maintenance for the Nursing Department’s medical and office equipment. Assist in transporting residents to meals, activities, and trips outside of the facility. Assist in delivering trays during meals. Attend scheduled training as required. Support the facility QAPI efforts by attending all assigned QAPI training; following established policies and procedures in support of QAPI efforts; participate in PIP teams as assigned; sharing ideas for improvement in the organization; and supporting QAPI efforts both verbally and non-verbally, including adjusting performance and practice in accordance with QAPI initiatives and findings. Perform work in accordance with the DMVA general safety rules and safety rules for this position. Immediately report all workplace injuries or incidents to the supervisor; and/or immediately correct any safety hazards in the work area or report same to the supervisor. Use PPE when required such as gloves, masks, etc. Perform other related duties as required. |
