Position Purpose: Describe the primary purpose of this position and how it contributes to the organization’s objectives. The employee occupying this position is responsible and accountable for performing clerical duties under the supervision of a Clerical Supervisor and the Energy Assistance Workers of the Energy Assistance Program for the Indiana County Assistance Office. |

Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. Opens mail each day, distributing it as needed or attaching material to previous applications already in process or pending. Maintains alphabetical files for all incoming applications, as well as all pending and completed applications. Also maintains files of computer printouts for all applications put into the computer during the program year. Answers telephones making proper referrals to staff or taking messages when needed. Also sets up interviews between the applicant and the interviewer or mails applications depending upon the applicant and the phone conversation. Contacts: Makes collateral contacts with social services agencies, vendors, etc., to help promote the LIHEAP Outreach Program. Completes memos, letters, and forms from handwritten material as well as those in draft form. Proofreads materials for correct grammar and punctuation as well as assuring information is typographically correct. Processes envelopes for those applicants who wish to have their applications sent to their home address. Uses computer for various reasons such as: inputting applications for payment through our program, to put in crisis applications (additional grants of money to an original application), to make changes in the applicant's address or his choice of vendors, and reissue grants that have been returned. Data inquiries to find applicant's social security number or address. Retrieves confirmation reports of all applications and crisis applications put into the computer the previous day to proofread for accuracy and pending reports of applications waiting for action. Maintains a log of applications taken for the period and taken to date, applications rejected to date, applications pending to date, the total amount of money issued through the program, applications mailed in, but not yet processed, the crisis applications approved for the period and to date, also the total amount of money issued through the crisis program. This log is used every two weeks in a report that goes to state office assuring the work performed in county. |
