Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

Perform a variety of administrative duties for the Training Section in support of the department’s efforts to establish and continuously improve a statewide needs-based system of training for substance use disorder professionals and stakeholders in Pennsylvania.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Provide administrative support for various trainer and student surveys. Disseminates the survey instruments, collect responses, answer questions regarding completion of the surveys, and completes follow up on incomplete responses. Organize and analyze responses. Prepare comprehensive reports to include presenting the data in charts or graphs along with detailed recommendations.

Develop and provide ongoing revisions to a course catalog and course materials files based on identified training needs. Ensure that all elements of each course are included and up-to-date. Assess training availability by geographic area and other criteria identified in the trainer and student surveys. Make recommendations for changes based on that assessment.

Carry out assignments to research evidence-based curriculum and modern practices and prepare reports and recommendations based on findings.

Coordinate the certification of courses by all relevant certifying bodies. Develop methodologies to ensure certifications are current and that all requirements are met in advance of due dates. Complete all paperwork and secure internal approvals.

Utilizing established standards and requirements for instructors, review potential instructors’ credentials and make recommendations regarding the utilization of their services based on that review. Prepare and process contractual documents for acquiring instructors, and submit invoices for payment.

Coordinate the process for auditing courses on an established basis. Develop and maintain a database to alert supervisor of required audits. Prepare a packet for each audit and provide it to the supervisor. Make arrangements for the audit and record the results in the database. Create follow-up mechanisms to ensure that audit findings are resolved to include course material revisions and other corrective action as well as re-evaluation.

Serve as the super user for the department Learning Management System (LMS). Serve as the point of contact for inquiries from LMS users and provide technical assistance. Provide training to Single County Authorities (SCAs) to use the SCA requestor role. Make recommendations for changes in LMS to better meet the needs of users and the department. Run standard reports in LMS and download data to Excel using pivot tables to manipulate and present data.

Assist training coordinators with approval of course schedule requests from SCA requestors by reaching out to SCA requestors with clarifying questions.

Manage the logistics for all training sessions to include venue, signage, course materials, audio visual equipment, and other trainer needs. Responsible for the printing of all course material well in advance of the training including the processing of purchase orders, approval of proofs, and delivery arrangements.

Compile course evaluations and develop system for recording information from evaluations. Develop and produce reports from data collected. Make recommendations based on analysis of data, and present data in format to support said recommendations.

Maintain the audio-visual equipment used for instructor lead training. Track the life cycle of the equipment, handle needed repairs and supplies, and work with the department’s budget team to ensure adequate funding for new equipment based on life cycle. Order and maintain supplies needed for instructor lead training.

Prepare and edit reports, correspondence, and other documents of an administrative or technical nature, including assistance in the processing of collected fees. Compose letters and memoranda for supervisor’s signature.

Travel occasionally in the performance of duties, including overnight stays.

This is beginning level staff work performing varied assignments for an administrative officer. Assignments are carried out under the supervision of the section chief, and work is reviewed through conferences, reports, and evaluation of results.
