Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. Performs a variety of assignments associated with developing and analyzing improvements of processes and procedures. Prepares and revises procedural manuals and other instructional materials. Review and analyze work methods and procedures, administrative processes, and policies, including managerial processes. Prepares recommended updates and changes and presents to the Director of Administration. Assists in the development and implementation of new and improved processes and/or procedures and systems; trains or assists in the training of appropriate personnel. Performs technical analysis work which may involve workflow processes such as correspondence or documents and records management. Manages and trains business area Subject Matter Experts (SMEs) on correspondence program (DocuSign). Works with IT, vendors, and staff to make necessary updates and changes. Research necessary background data, analyzing the data, developing recommendations, and preparing reports. Gather data and information related to projects and assignments under review, thoroughly analyze in order to make recommendations for improvements. Prepares reports containing analysis and recommendations for presentation. Will train and understand all aspects of the Commonwealth Travel policies and procedures and serve as a back-up for the Agency Travel Coordinator in addition to supporting during large travel projects. May be requested to prepare and/or review correspondence for the Director’s signature, meet and escort guests and meeting attendees to proper venue. May act on the behalf of the Director of Administration at times. Responds to questions from department and/or agency staff or others related to procedure under review or previously reviewed. Works with Administrative HR Coordinator, reviewing and updating Policy Information Memorandums (PIMs) on a regular basis (usually annually). Assigns SMEs their PIMs for review and relevance. Ensures all PIMs are posted for employee access on the shared drive and Agency Intranet. A person in this position may be required to support other Executive staff members, especially during emergency activations. Performs as an active member of the Employee Engagement Committee. Creates and maintains agency telephone directory, updating monthly. Is responsible to work with the Dept. of General Services in updating and maintaining agency information to be contained in the Commonwealth Telephone Directory. Serves as a supporting member of the agency Safety Committee. Receives and executes special projects for the Director of Administration. Assists and supports the agency HR Coordinator with the tracking of records. A person in the position may be eligible for part-time telework. Responsible for completing mandatory FEMA Independent Study Courses as requested. IS-100 Introduction to ICS IS-700 Introduction to NIMS IS-800 National Response Framework IS 2200 – Basic EOC Functions (online) Performs other related duties as assigned. NOTATION OF SCHEDULE: During an emergency, employee may be required to work 12-hour shifts. Employee may have their work schedule and/or hours changed or modified based on the emergency and assignment needs. Except for emergencies, changes to schedules and work hours will be provided at least two weeks in advance. EMERGENCY ASSIGNMENT This employee is an Essential Worker. Performs tasks to be assigned during periods of emergencies. Such tasks may differ from normal day-to-day routine. These emergency assignments are, at times, received with little or no advance notice and may last for any period of time ranging from a few hours to several weeks or more, depending on the nature of the circumstance. The emergency assignments are sometimes performed under adverse (less than favorable) conditions and may require travel to a disaster site for short or extended periods of time. This position performs operational assignments as required during actual emergencies. Position may serve in the Commonwealth Response Coordination Center and must be available to work outside of the normal work hours, to include weekends and overnights, when activated. |
