Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

This position is responsible for performing a variety of clerical functions related to and in support of the various Income Maintenance Programs under the authority of the Pennsylvania Department of Human Services administered by the County Assistance Office to ensure accurate and timely eligibility determination and effective and efficient operations.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Data Entry - Inputs information from a data entry document into the Client Information System (CIS) and/or any other automated system using a computer terminal. Interprets & completes data entry transactions analyzing results to ensure all data entry transactions are correct & accepted & in compliance of information & instructions received, according to established parameters & deadlines.

Applications- Receives applications, imports COMPASS applications, performs needed File Clearance on all applications, registers applications and distributes per established procedures/directions.

Inquiry- Interprets documents, completes transactions, reviews, records, & communicates results to ensure all clearances are completed accurately while meeting established deadlines.

Telephone Calls- Receives telephone calls, takes and distributes brief messages from telephone calls or via software application, to appropriate staff in a timely fashion. Provides phone coverage as directed. Makes telephone calls to relay information as directed.

Reception - Greets and tracks individuals coming into the office. Communicates and interacts with the public, co-workers, supervisory and managerial staff, and individuals in a courteous, professional manner often during stressful situations. Completes and maintains appointment schedules for intake appointments. Assesses requests and takes appropriate referral action and/or provides non-technical information, i.e., mailing applications, Expedited Food Stamp, etc.

Sort and Distribute - Processes and scans incoming and outgoing mail, faxes, etc. and distributes appropriately. Receives & processes printouts, mail, case records, & related materials for appropriate dissemination as established by policy and procedures.

File - Constructs & maintains files, including paper and/or electronic files, to meet identified needs. Purges case records & materials from files in accordance with established retention schedules. Collects, sorts, inserts material, searches for and/or retrieves case record and/or materials from files, including paper and/or electronic files, in accordance with local and statewide procedures.

Recording - Transfers written or verbal information in accordance with established procedures.

Collects statistical data as directed.
Operates office equipment such as fax, printer, copier and scanner.
Supports LIHEAP clerical duties as needed and/or on a substitution basis.
Maintains a working knowledge of the job duties and assignments of staff and the programs administered by the agency.
Performs other duties, as assigned.

Essential Functions:

Constantly operates various types of office equipment such as: but not limited to, personal computers, copy machines, fax machines, data entry devices, scanners, carts telephones, calculators, etc.
Constantly interacts with employees, customers and management while frequently simultaneously utilizing various computer applications.
Constantly uses computer applications to generate written communication by utilizing forms, memos, emails, narratives, etc.
Constantly communicates verbally with staff, clients, and public.
Constantly gathers, assembles and evaluates information provided via telephone, mail and/or face-to-face.
Constantly interprets written and verbal instruction to complete job tasks.
Constantly interprets and applies OIM and clerical support policies, procedures and regulations.
Frequently learn job related materials through various media and teaching methods.
Constantly interact objectively and with sensitivity to employees, applicants, customers, management in stressful or difficult situations.
Maintains and posts control logs, records, schedules, etc.
Frequently-constantly, sitting on an adjustable chair for extended periods of time; may stand as desired.

WORK CONDITIONS:
Assigned duties are performed in a controlled office environment.
In Counties with District Offices, employees may be reassigned to different work sites due to operational needs. Reassignments will be made in compliance with contract language.

Under general supervision decisions are made regarding the processing of work, setting priorities, managing workload, assessing and referring to appropriate staff. Complex issues are reviewed with the supervisor for decision.
