Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

Under the direct supervision of a Clerical Supervisor the employee in this position is cross-trained to process cash, medical, and food stamp transactions on cases per instructions from Income Maintenance Caseworkers and in accordance with priorities and deadlines as established by the Public Assistance Eligibility Manual and local policies.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Performs various job duties ranging from serving as office receptionist to unit clerk.
Prioritizes by deadline, category, etc. case record actions from Income Maintenance Staff by following instructions from Income Maintenance Staff in order to meet deadlines.
Types and processes a variety of documents including notices, reports, county disbursement fund checks, record transfers and correspondence for Income Maintenance staff. Proofreads typed materials to ensure the transfer of information is typographically and grammatically correct and complete.
Maintains control documents such as logs, records and schedules by recording information which reflects the disposition, status, or pertinent detail of incoming and outgoing correspondence or documents.
Distributes supplies as needed.
Opens, date-stamps, sorts and distributes incoming mail.
Handles incoming and outgoing mail, scanning, and attaching necessary items. Also handles incoming and outgoing faxes. Looks up returned mail in eCIS. Delivers mail daily to Post Office.
Operates office and mail processing machines such as calculator, photocopier, postage
meter, computer, fax, shredder, scanner, etc.
Directs calls and in-person inquiries to appropriate persons within the office or
community resources.
Maintains and stocks interview booths, packets at resource center for IM staff and
application packets at front desk.
Maintains and stocks pamphlets for the lobby.
Utilizes eCIS to process applications. Utilizes eCIS to perform support functions for IM staff.
Files documents in case records. Case records are filed as required. Purges obsolete materials.
Create EBT cards.
Other duties as required.

Essential Job Functions are as follows:
Frequently moves throughout an office to perform daily job functions.
Frequently files and transports files, work documents, etc., throughout the work site.
Constantly operates various types of office equipment such as but not limited to, personal computers, copy machines, fax machines, data entry devices, scanners, carts, telephones, calculators, etc.
Constantly interacts with employees, customers and management while frequently simultaneously utilizing various computer applications.
Constantly uses computer applications to generate written communication by utilizing forms, memos, emails, narratives, etc.
Constantly communicates verbally with staff, clients, and public.
Constantly gathers, assembles and evaluates information provided via telephone, mail and/or face-to-face.
Constantly interprets written and verbal instruction to complete job tasks.
Constantly interprets and applies OIM and clerical support policies, procedures and regulations.
Frequently learns job related materials through various media and teaching methods.
Constantly interacts objectively and with sensitivity to employees, applicants, customers, and management in stressful or difficult situations.
Maintains and posts control logs, records, schedules, etc.
Frequently-constantly, sitting on an adjustable chair for extended periods of time; may stand as desired.

WORK CONDITIONS

Assigned duties are performed in a controlled office environment.

In Counties with District Offices, employees may be reassigned to different work sites due to operational needs. Reassignments will be made in compliance with contract language.

This position requires the application of independent decision making in the areas of clerical support, stockroom procurement and purging of case record materials.
