Position Purpose:

Provides clerical office support within the Board of Pardons to ensure its operations are conducted efficiently and effectively.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Ensures mail is processed efficiently by sorting, processing, and distributing appropriately. Scans/Files all correspondence for applications that have been filed and makes necessary changes including updating contact information and adding/deleting interested parties.

Processes incoming clemency applications, adds contact record into system, confirms appropriate court documents are included and requests missing documents if necessary. This requires an understanding of the court documents. Sends acknowledgement letter/email to applicant and representative and organizes file for administrative review.

Interprets correspondence using independent judgment and uses appropriate templates or drafts response letters using correct style and format. Demonstrates accuracy with grammar, punctuation, and spelling. Assures accuracy in final form prior to Supervisor/Board Secretary’s review.

At Governor Action, uploads granted charters to system.

Maintains office supply inventory and reports needed supplies as necessary.
JNET and CLEAN User for the Board of Pardons tasked with accessing and requesting criminal history records, driving records and/or notifications on prior or current applicants.

Assists in purging files of documents that have exceeded the required retention period or need transferred to the State Records Center.

Responsible for keeping personal desk reference material up-to-date and organized.

Performs other related duties as required.

Must use discretion, good judgment, and maintain confidentiality.

 1. Obtain and maintain certification in JNET (PA Justice Network) and CLEAN (Commonwealth Law Enforcement Assistance Network).
