The Assistant Space Management Project Manager serves as a key contributor to the planning, execution, and oversight of complex space, relocation, and modernization projects across the Commonwealth’s real estate portfolio. This position is responsible for coordinating furniture installations, relocation logistics, and change management efforts within both owned and leased facilities. It supports enterprise-wide initiatives that prioritize efficiency, cost savings, modernization, and customer experience. |

Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. Strategic Space Planning & Assessment • Supports the development of strategic space assessments in partnership with senior staff. • Assists with scoping relocation and renovation projects, gathering operational data, and defining agency needs. • Helps coordinate agency engagement sessions to understand workflow, functional needs, and cultural impacts. Project Coordination & Implementation • Manages day-to-day logistics of relocations, including vendor coordination, site walkthroughs, and installation scheduling. • Oversees execution of space-related projects in collaboration with landlords, agencies, and internal partners (e.g., OA IT, BSSO). • Performs on-site evaluations and prepares field assessments, including occupancy audits and space surveys. Furniture and Finish Management • Assists in design layout and systems furniture planning, interfacing with vendors and aligning selections with Commonwealth standards. • Provides recommendations for finishes, workstation configurations, and special equipment placements based on operational and budget constraints. • Maintains updated documentation of all selections, procurement status, and installation progress. Data Management & Reporting • Uses TRIRIGA (IWMS) to track occupancy, personnel data, project status, and to generate space utilization reports. • Helps prepare executive-level presentations and dashboards to visualize space, cost, and performance trends. • Keeps digital records updated in coordination with BRE Space Managers and Strategic Planning Leads. Stakeholder Engagement & Change Management • Acts as liaison between agencies and project teams, ensuring clear communication throughout planning and implementation. • Facilitates user feedback sessions and relocation readiness meetings to ensure organizational buy-in and smooth transitions. • Manages politically sensitive conversations with professionalism and discretion, resolving space-related concerns diplomatically. Standards, Compliance & Process Development • Applies knowledge of ADA, Life Safety, Fire & Panic, and UCC regulations to ensure compliant space plans. • Helps maintain and improve Commonwealth-wide standards for furniture, finishes, and space planning practices. • Works with Procurement to provide input on vendor performance and future contract development. Technology & Innovation • Utilizes AutoCAD, MicroStation, and TRIRIGA to prepare floor plans, layouts, and space data visualizations. • Supports the integration of 3D modeling and AI-based planning tools to improve customer engagement and outcomes. • Participates in testing and feedback for new project management platforms and digital workflows. Other Duties as Assigned • Participates in cross-agency working groups, attends stakeholder meetings, and supports broader space optimization initiatives. |

Requirements Profile: Identify any specific experience or requirements, such as a licensure, registration, or certification, which may be necessary to perform the functions of the position. Position-specific requirements should be consistent with a Special Requirement or other criteria identified in the classification specification covering this position. Example: Experience using Java; Professional Engineer License Experience: • Professional degree in Architecture, Interior Design, Real Estate, or a related discipline and 2+ years of progressively responsible experience real estate, architecture, space planning, or facilities management. or • At least 6 years of progressively responsible experience in public-sector real estate, architecture, space planning, or facilities management. • Demonstrated understanding of architectural planning, furniture systems, and commercial fit-out procedures. • Knowledge of construction documentation, industry standards, and applicable codes (ADA, UCC, Life Safety). • High-level organizational and project coordination skills; ability to manage multiple concurrent projects. • Strong interpersonal and political acumen; able to work with sensitive stakeholders and high-visibility agencies. • Skilled in design software (AutoCAD, MicroStation) and enterprise data platforms (TRIRIGA or equivalent). • Excellent communication, visualization, and report preparation skills. • Familiarity with Commonwealth procurement processes and statewide contracts preferred.
