Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. • Performs data entry of IILL petitions and various types of other restoration work received in the unit. Updates Pennsylvania driver records by processing forms, statements, and other documents, received through the mail from customers whose driving privilege are suspended, revoked, cancelled or disqualified. • Maintains an accurate log of work received. Mail work is to be logged in to the unit and distributed to the staff in WID sequence for processing; all other work is distributed by priority. • Immediately reports system issues to the Clerical Assistant 3 work leaders, the unit supervisor or the unit manager. • Maintains an accuracy rate of at least 98% (2% maximum error rate). Work leaders will provide feedback to staff regarding correct processing procedures and train new employees to meet quality standards, as well as compiling and maintaining reporting systems pertaining to processing and error rates. • Complies with all aspects of the Fee Waiver Guidelines and ensures the correct fee waiver codes are used and properly documented whenever a fee waiver is necessary to process a transaction. • Ensures the correct cash drawer is used on a daily basis. • Ensures all fees received within the unit are accounted for and processed within the appropriate timeframe, meeting the established turn-around-times. Ensures all fees not intended for the unit are delivered to the appropriate unit on a daily basis. • Receives license products from sanctioned drivers, maintains accurate records of the products in a secure filing system and returns products to customers with correspondence when their sanctions have been completed and their driving privileges are restored. • Utilizes all standard office equipment including personal computer, multi-function printer with printing, scanning, emailing, copying and faxing functions, printers designed to produce correspondence and driving products, as well as Teams, for calling and messaging purposes. • Responsible for assisting with the processing and customer correspondence of the unit's notepads withing the established guidelines and timeframes (Notepads/72 hours; Priority Notepads/24 hours). • Responsible for assisting with phone calls by taking calls from both internal and external customers and responding to their inquiries regarding sanctioned drivers through review and research of driver and non-driver records. • Performs other job duties as assigned. • Supports and promotes the use of Driver and Vehicle Services quality and service initiatives. • Responsible for completing all mandatory Office of Administration and Driver and Vehicle Services online and in-person training courses within required time frame or deadline. Attending required safety training and adhering to the requirements of all safety manuals, policies, procedures, and laws. 3. Immediately reporting to your supervisor any incidents, unsafe practices or near misses. 4. Knowing your evacuation process and escape route, your communication protocols, and appropriately reacting in the event of an incident when in an enclosed environment (office buildings, confined spaces, flagger stations, equipment pinch points, etc.). |
