Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

Supervises a unit of clerical staff including Clerical Assistant 2s requiring moderately complex Clerical work under the direct supervision of an Income Maintenance Administrator 2.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Assigns work to employees based on the needs of the agency for Clerical support.

Reviews employees assignments as appropriate for completeness and accuracy.

Schedules duties for subordinates based on need and available staff.

Responsible for Clerical's time and attendance.

Completes performance evaluations for employees in unit.

Interviews and recommends candidates for available Clerical positions within the agency.

Provides on-the-job training to subordinates through individual/unit meetings, so that they are kept up-to-date and knowledgeable of all clerical practices.

Records information on logs for controlled documents.

Operates and demonstrates the operation of office machinery as appropriate.

Conducts unit meetings as needed.

Responsible for ordering/purchasing of office equipment, office supplies and maintenance of office supply inventory.

Performs other related duties as needed.

WORK CONDITIONS

Assigned work duties are performed in a controlled office environment.

In Counties with District Offices, employees may be reassigned to different work sites due to operational needs. Reassignments will be made in compliance with contract language.

Essential Functions

 1. Frequently moves throughout an office to perform daily job functions and transports files, work documents, etc., throughout the work site.
 2. Constantly operates various types of office equipment such as; but not limited to, personal computers, copy machines, fax machines, data entry devices
 3. Constantly interacts with employees, customers and management while frequently simultaneously utilizing various computer applications.
 4. Constantly uses computer applications to generate written communication by utilizing forms, memos, emails, narratives, etc.
 5. Constantly communicates verbally with staff, clients, & public, gathers, assembles & evaluates information provided via telephone, mail, face to face.
 6. Constantly gathers, assembles and evaluates information provided via telephone, mail and/or face-to-face.
