Position Purpose: Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. Under the supervision of the Business Manager, Keystone State Challenge Academy (KSCA), the Supply Coordinator (SC) is responsible for the requisitioning, purchasing, receiving, inventory management, and issue of supplies, equipment, and property for the academy. The SC ensures compliance with KSCA, State, United States Property and Fiscal Office (USPFO), and NGB (National Guard Bureau) requirements. The SC prepares and maintains all necessary logistical records and documentation. Additional duties include but are not limited to key control and management of maintenance work orders (equipment and facilities). |

Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. Responsible for the supply and inventory functions at the KSCA. Requisitions, issues, and manages all supplies and equipment for the KSCA. In coordination with the Business Manager, conducts supply and inventory planning and forecasting to support KSCA operations. Establishes and maintains property accountability in accordance with applicable regulations to include maintaining hand receipts, individual clothing records, purchase orders, purchase card documentation, and other logistical paperwork. Reviews and processes purchases based upon applicable regulations, policies, and procedures for cadets, cadre, facility, and instructional staff. Submits work orders to repair damage and inoperable equipment and facilities (or turns in to state/federal government). Maintains records of vehicles for scheduling and planning purposes. Issues and collects supplies during cadet in/out processing. Serves as KSCA key control agent. Receives incoming deliveries to campus, inventories and accounts for materials received, issues items as required, and properly warehouses excess. Conducts effective replenishment operations for expendables to avoid understocking and overstocking. Maintains an inventory management system (time in / time out tracking and low inventory / re-order triggers). Completes necessary training for the implementation, use, and maintenance of the inventory management system including required software and upgrades. Limits access to inventory management system to assigned log-ins and administrative profiles. Establishes maximum inventory thresholds and use by date standards for perishable and storage of limited products. In coordination with the Business Manager, maintains awareness of contract termination and renewal dates. In coordination with the Business Manager, oversees purchase card operations at the KSCA; provides training as required for all p-card holders at the academy. Perform work in accordance with DMVA general safety rules and safety rules for this position. Immediately report all workplace injuries or incidents to the Director and/or immediately correct any safety hazards in the work area or report the same to the Director. Perform other related duties as required. * Note: Required by Commonwealth law to have the following clearances NLT the first day of employment: Child Abuse History Clearance, FBI Criminal Background Check, Pennsylvania Criminal History Check, ACT 168 Form from previous employers, Disclosure Statement Affirmation (if clearances are dated within last 5 years). * Note: Must submit to and pass a drug test upon offer of employment |

The incumbent makes a full range of decisions to accomplish program goals and objectives and makes decisions based on experience, knowledge, background, and training in order to recommend improvements to the operational efficiency and integrity of the KSCA’s supply functions within the scope of their position responsibilities. |
