Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

Serves as a Clerical Assistant 2 in the Southwest District Office in the Oil & Gas Program.

This position’s priorities will be to provide clerical assistance to efforts to plug orphaned and abandoned wells pursuant to IIJA and to digitize OG’s paper records.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Processes Oil & Gas authorizations under the direction of the Lead Worker, Clerical Supervisor, and Section Chiefs including but not limited to: Drill and Operate Well Permit Applications, Pillar Permit Applications, Notice of Intent to Plug, Request to Transfer Well Permit/Registration, Well Records, Certificates of Plugging, Inactive Well Status, Expired/Cancelled Permits, Waste Management Forms, Notices of Intent, Proposed Alternate Methods, and Well Site Restoration.

Administratively reviews incoming authorization applications for proper documentation to ensure that appropriate supporting documentation and payment have been submitted. Creates sites, facilities, and applications in the eFacts system as necessary.

Distributes the applications to individual members of the technical staff. Enters and completes statistics for incoming authorizations in an Excel spreadsheet, and updates the County File Records and other databases as appropriate. Tracks fees received and gives report and checks to Fee Manager for Region.

Reviews correspondence for grammatical accuracy, typographical errors, and proper format.

Responds to public inquiries and assists visitors regarding laws and regulations concerning oil and gas activities.
Researches files using the internet, several different databases, and paper files for information regarding oil and gas well permitting and drilling activities.

Screens telephone calls, handling routine matters and referring those which cannot be handled to the appropriate party. Directs complaints to the proper channels.

Processes and distributes incoming and outgoing mail. Sort documents and file them accordingly.

Operates computer, copy machine, fax machine, microfilm reader, printer, scanner and telephone.

Promotes the Department’s mission.

Inputs appropriate data in a prescribed format to meet data quality standards set forth by guidance, training, and policy across all of DEP’s electronic data systems; to include ensuring accuracy and completeness of entries, and where available, the use of system specific tools to ensure duplicative entries and data quality issues are minimized.
