Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

Serves as the primary point of contact for the PGC Human Resource Office. Provides HR support to all HR program areas and serves as the assistant to the Human Resource Director. Answers incoming calls for the HR Office and assists callers as needed; routes telephone calls to other areas within the agency as necessary. Provides information and assistance by phone and in person on general employment and informational inquiries.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

•Responsible for drafting correspondence relating to positions and employee actions for the Executive Director and Human Resource Director.

•HR Reporting - Designs and/or prepares a variety of reports on key HR program activities for the HR/Admin. team utilizing MS Office, and IRIS. Independently gathers, prepares and submits reports as requested by the HR/Admin team such as the Employee Name Index and exit interview analyses.

Independently responsible for the PGC's Supplemental Employment Program. Reviews requests for completeness, obtains recommendations and approvals up through Chief Counsel and the Executive Director. Prepares appropriate correspondence to respond to requests, inputs records into a database, and updates each record on an annual basis. Reviews any conflicts of interests and answers employment inquiries relating to Supplemental Employment.

•Independently completes Unemployment Compensation claimant separation forms, and provides additional documentation for separated employees.

•Oversees all equipment, service and supply purchases for the PGC HR Office. Monitors supply inventory and orders as needed. Monitors contracts for services and publications which include the Labor Relations Press, Arbitrations, OA Legal Services and the Civil Service Commission. Reconciles purchasing card and invoices on a monthly basis. Responsible for annual furniture and equipment inventory.

•Independently coordinates the Commission’s 25 Years of Service Employee Recognition Program. On an annual basis, runs an IRIS report of all employees who have anniversary dates of 25 years and determines whether all 25 years of service have been with the Commission. Prepares and sends appropriate correspondence to employees, authorizes certificates, and procures commemorative pins.

•Independently manages the Commission’s Commonwealth Service Awards, including preparing and sending employee correspondence and authorizing certificates.

•Independently coordinates the Commission’s annual Award Ceremony, including determining attendees, notifying regions and bureaus, preparing the agenda, and organizing the luncheon.

•Collaborates with the Bureau of Marketing and Strategic Communications to enhance the agency's LinkedIn presence by recognizing award nominees on a public facing platform/social media. Provides staff guidance and assistance developing/creating LinkedIn account.

•On an annual basis, compiles death notices of employees who have retired from or currently work for the Game Commission and drafts a report of years worked, dates of hire, separation, and position(s) held. Forwards information to the Bureau of Information and Education for inclusion in the Commission’s Game News publication.

•Develops and conducts HR trainings for new employees and new supervisors relating to supplemental employment and onboarding. Coordinates the bi-monthly New Supervisor trainings.

•Oversees the PGC Employee Onboarding process. Generates new employee email messaging to include PGC specific policy acknowledgements. Tracks completion of policy acknowledgements and uploads to Official Personnel File. Works closely with supervisors and managers to ensure employee I9's are completed timely. Follows up with employee, supervisor/manager for untimely completion of onboarding.

•Assists with typing, copying and assembling of training materials such as handouts and manuals.

•Reviews transactions/letters completed by the HR Shared Services Center for accuracy.

•Assists with the processing of Personnel Action Requests (PARs).

•Assists with sending agency job postings.

•Coordinates meetings by establishing meeting dates, obtaining agenda items, typing and distributing meeting notes, identifying and following-up on pending assignments.

•Provides miscellaneous administrative support to the Human Resource Office.

•Independently manages the Agency Employee Directory (Roster) - Tracks and records changes in field personnel statewide. Coordinates address changes, position changes, and location changes as needed.

•Present briefings, trainings, and speak to individuals/groups as necessary.

•Provides employment verifications, employment information, and furnishes applicants with required forms as requested.

•Responsible for OPF management to include filing, purging, archiving and tracking.

•Advises HR Director on any items needing attention.

•Maintains asset/inventory system for Human Resources.

•Assists the HR Director with incoming and outgoing correspondence, travel arrangements, expenses, and reimbursements.

•Handles HR mail by opening, date stamping and distributing incoming mail.

•Monitors web content & coordinates updates w/Bureau of Info Tech.

•Responsible for compiling the Commission Meeting Personnel Report on a quarterly basis which entails a listing of all personnel actions taken each quarter.

•Proofreads various types of materials to ensure information is grammatically correct, complete, consistent and adheres to agency rules and regulations.

•Receives visitors and telephone calls coming into the office by screening calls and directing individuals to appropriate personnel.

•Travels as required for meetings, training, seminars etc.

•Performs other related duties as required.
