Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

Provides clerical and office support to the Bureau of Watershed Restoration and Nonpoint Source Management.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Manages the Bureau Director’s calendar, schedules meetings, arranges travel, and prepares meeting materials and briefings.

Receives assignments for Bureau staff from program managers and delegates the assignments to the proper staff.

Researches information such as the Bureau’s summer internship program and travel processes to establish and maintain standard operating procedures.

Assists in preparing technical guidance publications, and records retention efforts.

Coordinates the Bureau’s e-library updates with the Office of Water Programs. Ensures documentation is accurate and filed properly.

Prepares and compiles reports, briefings, and presentations for executive offices and county partners.

Reviews guidance documents for proper formatting, identifies publishing requirements, and tracks status of documents through approval and posting processes.

•Coordinates with Commonwealth printing services to confirm print specifications, verify funding codes align with budget estimates, and review proofs with program staff for final approval.

Supports procurement processes by verifying pricing, submitting requests, and tracking deliveries and invoices.

Maintains databases and spreadsheets; ensures data accuracy and compliance with DEP standards.

Serves as lead timekeeper; processes timesheets, leave, overtime, comp time, and travel reimbursements.

Trains staff on using Cross Application Time Sheets (CATS)

Reviews EZPass reports to verify transactions and assign funding codes for payment.

Provides support for administrative and fiscal functions, including SAP reporting and grant summaries.

Screens calls, manages mail, and promotes the Department’s mission through professional service and communication.

Promotes the Department's mission.

Inputs appropriate data in a prescribed format to meet data quality standards set forth by guidance, training, and policy across all of DEP’s electronic data systems; to include ensuring accuracy and completeness of entries, and where available, the use of system specific tools to ensure duplicative entries and data quality issues are minimized.

Supervisor, Division Manager and Bureau Director develop goals and objectives and assigns special projects. Most work is accomplished independently. Work is reviewed for efficiency and accuracy on an ongoing basis.
