Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

This position is responsible for typing a variety of case management documents. It is necessary that these documents be done in an accurate and expedient manner to keep the families and Courts abreast of the adjustment of the residents in our program. This position is also responsible for ordering supplies and items needed for the efficient operation of the program.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Types Initial Packets after the arrival of a new resident, by compiling material necessary, to be done in a neat, accurate, timely and grammatically correct manner. Initial Packet is prepared to ensure direct contact with families is established, for all medical needs, and for the committing Court to send any additional background information.

Types Progress Reports and Addendums, to be done in a neat, accurate, timely, and grammatically correct manner to make committing Courts aware of a resident’s initial adjustment.

Types MCPA's and Conference Notifications by compiling material necessary, to be done in a neat, accurate, timely, and grammatically correct manner.

Types Home Visit letters to the families and committing Court, to make families aware of home visit arrangements and for Court approval, to be done in a neat, accurate, timely, and grammatically correct manner.

Types Confidential Summaries, Reports, and Addendums for committing Court to decide resident's placement, to be done in a neat, accurate, timely, and grammatically correct manner.

Prepares and processes invoices to forward to Loysville YDC/Accounting department. Prepares Agency Purchase Requests (APR) for off-contract items and office supplies to be purchased. Coordinates with Loysville YDC/Purchasing department.

Orders supplies (clothing or special request items) for the facility through the SAP system on a weekly basis. Coordinates with maintenance to pick up supplies from Danville State Hospital on a weekly basis. Prepares and distributes the Weekly Roster Report of residents' information. Prepares and distributes new Admissions Report on a monthly basis. Issues supplies for Lodges, Nursing, School, and Dietary on a monthly basis. Maintains warehouse. Orders stock as needed. Prepares outgoing mail daily and orders postage for the postage meter on a monthly basis.

Operates switchboard, routes telephone calls and forwards messages daily.

Performs other functions as assigned by Supervisor, such as photocopying, filing. Oversees weekly Payroll for all residents Accounts, deposits and withdrawals. Oversees weekly Canteen fund and monthly deposits and audits.

Major corrections that might change the meaning intended by the writer cannot be made without supervisory approval.
