Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

This position is assigned to the Department of Environmental Protection, Pottsville District Mining Office. In this role, you will serve as the office's receptionist, responsible for welcoming visitors, answering phone calls, and offering guidance to individuals based on their specific requirements.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Operates a multi-line call directory at the main reception desk at the Pottsville District Mining Office of DEP. Answers all incoming calls, screens and directs the caller to the proper individual/program contact, regional office or outside agency.

Receives visitors and provides district assistance/information or directs them to appropriate personnel or agency. Ensures that visitors sign in and out of the Visitor Logbook.

Maintain and update receptionist desk manual.

Ensure complaint calls are directed to appropriate staff in a timely manner.

Performs skilled typing in appropriate format for correspondence, memos, reports, and permits from printed or handwritten material and proofreads all work for accuracy.

Checks and signs for any packages and mail that are delivered to the reception desk.

Provides water test kits to the public. Collects required payment for each test kit and other payments received at the receptionist desk. Records all necessary check/money order transactions and issues a receipt to the customer.

Prepare various types of records for digitization including start sheets, digitizing records, and checking/uploading digitized records in OnBase and the appropriate SharePoint folders.

Inputs appropriate data in a prescribed format to meet data quality standards set forth by guidance, training, and policy across all of DEP’s electronic data systems; to include ensuring accuracy and completeness of entries, and where available, the use of system specific tools to ensure duplicative entries and data quality issues are minimized.

Sorts, stamps and distributes incoming mail as needed. Follows proper mail handling procedures. Ensures distribution to proper staff. Logs legislative correspondence.
