This role directs key program activities to ensure the efficient use of government facilities and serves as a resource for agency partners in space-related decision-making. |

Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. Oversees space planning and project coordination for Commonwealth agencies to ensure efficient, functional, and cost-effective workspace utilization. Manages a portfolio of space-related projects, serving as the primary liaison between agencies, internal team, and external stakeholders. Directs the work of support staff and coordinates task assignments related to floor plan design, lease specifications, and project tracking. Develops and refines internal administrative procedures related to space planning, ensuring consistency with department policies and program objectives. Leads customer consultations to gather workspace requirements and translates needs into project plans and deliverables. Coordinates the review and finalization of project designs, ensuring agency approval and alignment with strategic goals. Administers project tracking through TRIRIGA system, ensuring accurate data entry, reporting, and inventory management for floor plans and space. Supports the development of lease specifications and scopes of work in collaboration with agency customers and the Leasing Division. Reviews space inventory and utilization data to identify vacant or underused areas and reduce unnecessary leasing. Provides guidance to technical staff using AutoCAD or similar tools for floor plan design, schematics, and space analysis. Ensures adherence to established workplace standards, including ADA guidelines, L&I codes, and the Commonwealth’s Space Utilization Manual Prepares agendas, minutes, reports, and recommendations for meetings with agency contacts and senior leadership. Gathers, analyzes and presents data on space usage, costs, and project progress to inform decision-making at the executive level. Trains agency liaisons and internal staff on space management systems and procedures, including TRIRIGA functionality. Assesses training and procedural needs by collecting stakeholder feedback and proposing improvements to enhance program effectiveness. Keeps current with best practices in space planning, project management, and workplace design through seminars, vendor sessions, and industry research. Leads assigned special initiatives or process improvement projects on behalf of executive leadership. Reads and interprets architectural plans and construction documents to inform space planning decisions. Maintains and updates design templates and drafting standards for use across the division. Coordinates ergonomic assessments for agency workspaces and recommends accommodations in compliance with HR and ADA standards. Maintains working knowledge of public administration principles and applies them to project and program management. Builds and maintains strong working relationships with internal departments, external agencies, and regulatory authorities. Exercises independent judgment and discretion in decision-making while ensuring program alignment with departmental goals. Performs related administrative duties to support the broader mission of the Bureau of Real Estate. |

Requirements Profile: Identify any specific experience or requirements, such as a licensure, registration, or certification, which may be necessary to perform the functions of the position. Example: Experience using Java; Professional Engineer License Experience: • Professional degree in Architecture, Interior Design, Real Estate, or a related discipline and 4+ years of progressively responsible experience real estate, architecture, space planning, or facilities management. or • At least 8 years of progressively responsible experience in public-sector real estate, architecture, space planning, or facilities management. • Demonstrated understanding of architectural planning, furniture systems, and commercial fit-out procedures. • Knowledge of construction documentation, industry standards, and applicable codes (ADA, UCC, Life Safety). • High-level organizational and project coordination skills; ability to manage multiple concurrent projects. • Strong interpersonal and political acumen; able to work with sensitive stakeholders and high-visibility agencies. • Skilled in design software (AutoCAD, MicroStation) and enterprise data platforms (TRIRIGA or equivalent). • Excellent communication, visualization, and report preparation skills. • Familiarity with Commonwealth procurement processes and statewide contracts preferred.
