Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

This position serves as both the Agency’s Audit Coordinator and Single Audit Contact and has lead responsibility for the department to ensure compliance in regard to Management Directive 325.09 Amended – Processing Subrecipient Single Audits for Federal Pass-Through Funds.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Reviews agency agreements that provide federal pass-through funds to Subrecipients to ensure inclusion of audit clause that contains, at a minimum, the requirements set forth in the Subrecipient Audit Clause.

Utilizes Business Warehouse and Microsoft Excel to develop and maintain a tracking system for the receipt and distribution of Subrecipient Single Audit Report Submissions.

Evaluates agency compliance with Subrecipient Single Audit Report Submissions and ensures agency management implementation to maintain an important source of information for monitoring, evaluating, controlling, and strengthening the administration of federally funded programs, both at the Commonwealth and Subrecipient levels.

Provide timely notification to bureaus when Subrecipient Single Audit reports have been accepted by the FAC.

Audits Subrecipient Single Audit Report submissions to identify discrepancies within Submission Reports and coordinates with appropriate bureau to contact the Subrecipient regarding the acceptability of the Single Audit report in order to ensure the resolution of assigned findings contained in the report.

Act as the liaison to Subrecipients, BAFM, and other organizations with respect to Subrecipient Single Audit Report Submissions.

Develop the agency’s policy and procedures related to audits and internal controls.

Direct the agency's Audit Resolution of Subrecipient Single Audit Report Submissions. Establishes and maintains agency Audit Resolution procedures and guidance documents that meet the agency’s needs and instructs personnel on the implementation of such procedures.

Provide a listing of Single Audit Report Submissions processed during the month to each affected bureau after the end of each month.

Identify federal grant opportunities available to the department and inform department staff of these opportunities and application deadlines. Reviews budget information for submitted grants.

Direct the agency’s Enterprise Risk Management approach and activities in collaboration and consultation with the Oversight Body and agency head as per Management Directive 325.12.

Track responses received from staff in regard to available federal grant opportunities.

Demonstrate a commitment to meeting and exceeding expectations of the bureau/program’s customer(s) at all times.

Apply Lean tool(s) to day-to-day tasks when a process has been identified for improvement.

Other duties as assigned by supervisor or bureau director.
