Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

This is a limited term wage Clerical Assistant position assigned to the Records Center. Mainly responsible for performing clerical functions related to the digitizing of historic program files. Duties of this position are performed under the supervision of a Clerical Supervisor.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Scanning & Imaging: Scans documents using a dedicated scanner and/or a multiple function device (MFD) to capture and categorize electronic images. Modifies electronic image sets using a computer terminal ensuring the electronic image is transposed to an electronic document, and uploaded to our OnBase system utilizing keywords.

Clean each multiple function device and dedicated scanner according to the manufacturer’s instructions.

Data Entry: Information from a data entry documents/databases is input into the OnBase system
Inquiry: Databases are accessed to obtain specific information as necessary.
Filing: Documents are electronically filed in the OnBase system as required. Purges records according to retention schedule.

Relief Reception: Greet visitors to office and answer phones determining how they need to be served.

Communicates with Supervisor: Discuss clerical procedure, personal problems and suggestions for improvement of overall job performance.

Performs additional designated work and other duties related to the functioning of the DEP as required.

Promotes the Department’s mission.

Inputs appropriate data in a prescribed format to meet data quality standards set forth by guidance, training, and policy across all of DEP’s electronic data systems; to include ensuring accuracy and completeness of entries, and where available, the use of system specific tools to ensure duplicative entries and data quality issues are minimized.
