Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

Provides administrative support for the Division of School Facilities for the Supporting America’s Schools Infrastructure Grant Program (SASI). Collaborates with division architect, facilities advisor, and division chief to provide technical assistance to 41 High-Need Local Education Agencies (LEAs) across the state.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Communicates with IT to ensure that database parameters are established in accordance with agency and legislative requirements for the SASI grant to ensure a measured implementation of the grant.

Provides technical assistance to High-Need LEAs with entering and accessing required information into the database or any other shared format, such as a TEAMS workgroup.

Inputs, tracks, and manages data for the maintenance program data collection IT system and makes recommendations on system improvements to IT.

Facilitates and maintains ongoing needs assessment with districts and LEAs participating in the SASI Grant Program to collect feedback on program execution and trainings provided; compiles information and presents recommendations based on feedback in conjunction with the facilities advisor.

Develops and disseminates information and materials for High-Need LEAs. Development occurs both in coordination with the PDE SASI team and independently, as allowed.

Reviews and formats PDE Annual Performance Report (APR) and interim reports required by USDE for SASI grant recipients.

Reviews and formats PDE Logic Model required by USDE for SASI grant recipients. The Logic Model is discretionary in design by each SEA if remaining within USDE parameters. Data points and goals are changeable in nature dependent upon grant implementation trends.

Coordinates internal PDE meetings with other divisions. Coordinates external PDE meetings with other state agencies and professional associations.

Investigates where professional development opportunities exist for SASI team including not only professional opportunities for architect and facilities advisor, but also for themselves.

Conducts research related to the administrative review process where it may be necessary to collect quantitative data (APR, Logic Model, IT submission). Reviews and analyzes information to compile reports for supervisor or others.

Example: In response to a customer inquiry, this work involves researching the status of an activity and preparing a formal response for the supervisor’s signature.

Work is performed with considerable independence, utilizing discretion to work with IT independently on formatting and querying possibilities once parameters have been established by supervisor.

Exercises discretion regarding material design for High-Need LEA interactions once parameters have been established by the supervisor.

Formats and updates items such as the PDE Logic Model in a collaborative manner with other PDE SASI team members.
