Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. 30% Serves as an administrator and point of contact for Area I Troops/Stations for the M5 AssetWorks FleetFocus Inventory System, which manages and tracks the assignment, maintenance, repair, warranty coverage, and characteristics of the PSP automotive fleet (3,800 vehicles). Enters service and preventative maintenance records for all vehicles that fall within Area I Troops/Stations. Provides system access for authorized users and troubleshoots user issues. Modifies the system to meet agency business needs (e.g. repair reminders, services schedules, data maintenance). Creates custom reports as requested. 25% Receives and reviews vendor repair estimates for Area I Troops/Stations to ensure requested repairs are in compliance with Department and Commonwealth policies and procedures, and in conformance with accepted mechanical repair practices. Determines the necessity of repairs and services, the appropriateness of particular parts, acceptable costs of recommended repairs etc. Ensures vendors don't provide initial low estimates in order to receive the work and then return with a request for supplemental repair work. Monitors and verifies the validity of supplemental repairs. If concerns are found, works directly with Troop Automotive officers and/or vendors to resolve issues. Once verified as accurate, enters repair authorization into the system and submits to supervisor for final approval. Notifies appropriate Troop Automotive officer of the final decision on repairs. 15% Enters all State Police vehicle repair information into the Department of General Services, Finance and Risk Management, Origami Risk database. 10% Processes vehicles for Disposition and Auction pick up. Verifies the coding and terminates fuel card and sends necessary paperwork to the Department of General Services, and Auto Auction for further processing. Monitors vehicles at Troop/Station locations that are inoperable and waiting to be replaced and sent to the auction for disposal. Maintains the Division’s vehicle maintenance jacket file room. Pulls necessary files for retention when units are sold. Files appropriate forms, invoices, etc in the existing vehicle jackets. 5% Send and respond to Compromised Fuel Card Inquiries. Files an affidavit if applicable. 5% Processes Automotive Inventory Control paperwork for new vehicles being released to the field according to the schedule provided by the Bureau of Communications and Information Services. Monitors the re-release requests from the field and process the coding, fuel card and license plates changes when applicable. 5% Assists in answering telephone calls and directs calls to appropriate staff members. 5% Performs other assigned related duties promptly and efficiently. |
