Position Purpose: Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. This position manages the Department of Health's (DOH) SharePoint Online (SPO) site collections and Nintex Office 365 (O365) and Nintex Automation Cloud (NAC), as well as serves as the liaison between DOH, the Office of Administration Information Technology (OIT), and outside vendors SPO, Nintex O365, and NAC. |
Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. Migrates or rebuilds all Nintex O365 workflows over to NAC workflows by April 2026. Develops policies, procedures, and best practices on SPO site formatting, usage, and management, including how to safely update permissions to ensure content is managed and shared in accordance with DOH and OIT regulations, policies, and Commonwealth and Federal laws. Develops policies, procedures, and best practices on NAC utilization. Develops and delivers training on how to use SPO appropriately, providing guidance and documentation on topics such as SPO permissions, file naming conventions, adding and editing content, as well as other appropriate topics. Develops and delivers training on how to use NAC workflows that are utilized across the entire DOH, such as the Travel and Training Request workflow and the Communications Approval workflow, as well as workflows that are specific to each program. Manages all SPO site collections for DOH, which currently consists of three site collections with over 900 sites and subsites, both internal and external. Monitors all site collections for broken sites, pages, or web parts, and updates/modernizes as needed. Modifies SPO sites upon request from program. Manages all NAC workflows for DOH, which currently consists of over 350 workflows. Monitors all workflows for errors and workflow failures. Modifies NAC workflows upon request from program. Creates new SPO sites and NAC workflows upon request, after determining that nothing currently exists to meet the needs of the request, and to ensure maximum efficiency. Makes recommendations to programs on how best to enhance their current SPO sites or NAC workflows, in the event something does already exist. Schedules and leads meetings with program staff to gather programmatic needs and requirements to make educated recommendations for new SPO sites and NAC workflows. Routinely prepares and analyzes NAC and SPO reports to monitor permission levels and current usage. Works with programs to archive and/or delete inactive SPO sites and NAC workflows. Serves as DOH’s main point of contact for troubleshooting SPO and NAC issues, liaising with IT or contractors as needed. Performs related work as required |
