This is a full-time, limited-term opportunity to assist the Vector Management Laboratory and Bureau of Laboratories in the receipt, entry into database, tracking, organization, and storage of arthropod samples collected from across the Commonwealth. |

Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. • Serves as the primary point of receipt for all incoming arthropod sample shipments, including organizing shipments, transporting samples to the laboratory, verifying and logging shipment details, and replenishing necessary materials. • Enters sample identification data—such as collection locations and dates—into designated databases using both barcode scanning and manual data entry to support tracking by Laboratory and Field teams. • Organizes and stores samples promptly by Program and priority level to ensure efficient access for Taxonomy staff during identification processes. • Independently generates shipping reports using the courier database and coordinates with courier customer service to resolve system issues. • Communicates regularly with the Administrative Officer to review and verify shipments received from courier services. • Cooperates with the Administrative Officer to reconcile courier invoices with shipment records on a biweekly basis, ensuring adherence to contract requirements. • Assists the Taxonomy Supervisor in responding to field staff inquiries regarding shipment logistics and materials replacement. • Supports the Taxonomy Supervisor by identifying, labeling, and recording location information for shipping containers. • Serves as the Laboratory liaison for shipment tracking and sample inventory, ensuring accurate and timely communication. • Maintains effective communication with internal and external stakeholders regarding shipment status and sample inventory. • Assists Laboratory personnel with obtaining materials from inventory, including preparation of specimen containers. • Provides backup support for daily sample cooler inventory and assists with cooler cleaning as needed. • Prepares and formats correspondence, memoranda, reports, and forms; manages photocopying, filing, and other assigned clerical duties. • Provides backup support for proper disposal of completed samples, following standardized procedures and using approved discard lists. • Serves as backup to the Management Technician for Bureau-wide Record Retention responsibilities. • Provides backup assistance to the Clerical Assistant 2 for entering Header information into SIS and LIMS systems. • Receives deliveries when the Stock Clerk is unavailable. • Promotes the Department’s mission. • Inputs appropriate data in a prescribed format to meet data quality standards set forth by guidance, training, and policy across all of DEP’s electronic data systems; to include ensuring accuracy and completeness of entries, and where available, the use of system specific tools to ensure duplicative entries and data quality issues are minimized. • This job description in no way states nor implies that these are the only duties to be performed by the employee occupying this position.
