Position Purpose:

Provides clerical and office support within the Section and ensures that data processing is done efficiently and effectively. Organizes and maintains file areas, storage room, visitor area, conference room, and library.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Database Processing:
Routinely process oil and natural gas well data and documents by performing the following:
Sorts, scans, indexes, publishes and records data from incoming digital and paper documents obtained from both the Department of Environmental Protection and industry donations into the Exploration and Development Well Information Network (EDWIN);
Distributes documents to staff geologists for technical processing;
Meets regularly with supervisory staff to brief on oil & gas document processing workflow efficiencies, needs and backlog.

Paper File Areas, Conference Room, and Library:
Responsible for maintenance and condition of file areas, including oil and gas well records, location plats, geophysical logs and related information; conference room; and library.
Supports document filing and library spaces, suggesting improvements to supervisory staff with respect to the order, location, and storage type to maintain critical documents and maximize document access.

Visitor Area:
Responsible for maintenance and condition of visitor area, and provides primary support to visitors, logging visitors into EDWIN on the visitor workstations, and pulling well records, maps and publications to support their requests. As needed, refers technical questions to a staff geologist.

Reporting:
Runs queries and compiles data from EDWIN in support of internal and external requests for geological information.
Runs routine and ad hoc queries of EDWIN processing efforts by technical and support staff to inform routine BGS statistical reports.

Promptly responds to public service requests by researching well activity, running custom reports, and preparing responses (email, phone or paper copies).
In certain instances, delegates requests to geology staff based on topic and their expertise.
Provides suggestions for improvements in file maintenance and EDWIN document processing workflow, needs and backlog reduction for supervisor review and approval.
