Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

This position provides clerical support to the Education & Incentives Team within the Department of Military and Veterans Affairs (DMVA). Work involves performing routine clerical tasks such as document processing, data entry, correspondence preparation, and records maintenance to support the administration of the Military Family Education Program (MFEP) and Educational Assistance Program (EAP). All work is completed in accordance with established procedures and confidentiality requirements.


Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

INTAKE & ADMINISTRATIVE SUPPORT:

Monitors and manages the organizational email inbox and routes inquiries and materials to the appropriate staff.

Logs and tracks incoming information and maintains basic intake records in accordance with established procedures.

Organizes and prepares MFEP and EAP documentation for staff review

RECORDS & FILE MANAGEMENT:

Creates and maintains electronic folders for service members, dependents, and veterans

Scans, uploads, indexes, and files documents per established records management standards.

Conducts routine file checks to ensure completeness and proper filing and assists with file clean-up, archival preparation, and audit activities.

REPORTING AND COMPLIANCE SUPPORT:

Runs standard reports and reviews them for accuracy and completeness, referring discrepancies to supervisor or other staff members as directed.

COMMUNICATION AND CLERICAL SUPPORT

Answers telephones, retrieves and responds to routine messages, and provides general assistance to callers.

Sorts, date-stamps, and routes incoming mail and prepares outgoing correspondence and mailings.

Provides general clerical support including scanning, copying, data entry, scheduling, and other assigned administrative tasks.

Performs work in accordance with the DMVA general safety rules and safety rules for this position. Immediately reports all workplace injuries or incidents to the supervisor; and/or immediately corrects any safety hazards in the workplace.

Performs other related duties as required.

**Must possess a valid federal or state-issued photo ID and pass a favorable NCIC screening for admittance to Fort Indiantown Gap**
