JOB TITLE: MAIL PRODUCTION OPERATOR

SERIES NATURE OF WORK: The Mail Production job series describes work performed in support of mail production services.

DEFINITION: This is work that involves the operation of high-volume, production-level mail insertion or sorting equipment in an agency centralized mail production facility.

An employee in this job is responsible for operating computerized, high-volume mail insertion or sorting equipment to process barcoded letters and documents. Work involves preparing and adjusting equipment; reading and following instructions on job tickets/work orders; selecting, identifying, and entering individual job parameters; operating mail metering and addressing equipment; monitoring jobs to ensure all job pieces have processed correctly and to protect confidentiality of information; and performing routine maintenance, adjustments, and minor repairs to equipment. Work also includes submitting daily production reports and ensuring work is completed within scheduled deadlines. An employee in this job may also function as a lead worker for Mail Production Assistants. Assignments are received with general instructions and are carried out within existing guidelines. Work is reviewed by a supervisor for overall completion, accuracy, and customer satisfaction.

   DISTINGUISHING CHARACTERISTICS: Work is differentiated from the lower level by the responsibility for one of the following:

• Operating computerized, high-volume mail insertion or sorting equipment.

• Serving as a lead worker for Mail Production Assistants.

EXAMPLES OF WORK: (NOTE: The examples of work are representative of the work, but every position classified to this job may not perform all examples of work listed. Conversely, this is not an all-inclusive list of work examples.):

• Operates high-volume mail insertion equipment for processing time-sensitive and data-variable mail.

• Operates automated mail/postage metering systems and mail sorting equipment.

• Operates inkjet mail addressing systems with tabbing capabilities.

• Uses folder equipment to fold materials of varying sizes.

• Verifies the accuracy of processed mail by ensuring matching barcodes, correct number of pages and inserts, and visibility of mailing address.

• Ensures job tickets/work orders are completed timely and accurately.

• Performs routine maintenance, adjustments, and minor repairs to equipment.

• Packs, seals, wraps, and labels materials for delivery.

• Functions as a lead worker for Mail Production Assistant work by assigning and

reviewing work, training employees, and performing quality control functions for the work.

• Operates a motor vehicle used to pick up mail from various locations for mail sorting.

• Performs related work as required.

ENTRY LEVEL KNOWLEDGES, SKILLS, AND ABILITIES:

• Knowledge of office equipment operation.

• Knowledge of the use and functionality of Microsoft Office Suite software.

• Ability to operate a personal computer.

• Ability to perform basic mathematical calculations, such as addition, subtraction, multiplication, and division.

• Ability to follow verbal and written instructions.

• Ability to communicate effectively orally.

• Ability to communicate effectively in writing.

• Ability to establish and maintain effective working relationships.

MINIMUM EXPERIENCE AND TRAINING: (NOTE: Based on the Entry Level Knowledges, Skills, and Abilities):

• One year as a Mail Production Assistant;

or

• One year of clerical experience;

or

• An equivalent combination of experience and training.

SPECIAL REQUIREMENT:

• Certain positions require possession of an active Pennsylvania non-commercial Class C driver’s license or equivalent.
